Conduct of a Trip
The Trip Leader shall issue a Trip Notification as far in advance of the trip as possible.
The Trip Leader has at all times, the absolute discretion to make the final judgement to determine the suitability of vehicles proposed to participate in a trip or equipment proposed to be used. Furthermore, the Trip Leader has the discretion to accept or reject any person’s participation. This specifically includes drivers and passengers, whether before or after the commencement of the trip. Such acceptance or rejection will be in accordance with the relevant club By Laws.
The Trip Leader will call a driver meeting prior to the start of the trip and at any time required during a trip. Format of Briefing.
The Trip Leader shall appoint a ‘Sweep’ who will be at the end of the convoy and will notify the Trip Leader of convoy progress, including but not limited to information regarding the convoy’s progress at a turn, departure from a stop, completion of an obstacle. The Sweep must have Moving Map Technology (MMT).
The Trip Leader shall appoint Track Marshals for a trip, if required. Track Marshals are in charge of guiding or assisting members through obstacles. In the event of winching being necessary, the winch operator will automatically become a Track Marshal.
The Trip Leader shall moderate any disputes or issues between drivers.
Sweep is the last vehicle in the convoy and shall advise the Trip Leader of a convoy’s progress around turns and obstacles, departure from a stop, and entering and exiting major roads.
The Club UHF Channel for Trips/Convoys is 25. Alternative Channel is 15. The Trip Leader will advise if a different channel is to be used.
At an obstacle radio communication is to be directed to the Trip Leader, or, as necessary, the Track Marshal(s) and/or Sweep.
Should a Trip Leader ask a general question of the whole convoy (for example, fuel or toilet stop), the replies should start from the second vehicle position and progress to the rear.
In the event of a problem/emergency, allow the drivers of the vehicles experiencing the problem and those directly assisting the priority use of the radio channel.
The cost of satellite phone usage during a trip may be apportioned equally to trip participants, in accordance with pre-determined guidelines. By participation in a trip, Members acknowledge that they are aware of this and agree with the practice.
Observe road rules at all times.
Allow a distance between vehicles sufficient that other road users overtaking the convoy may safely return to the left lane between vehicles in the convoy.
Drivers shall maintain a safe distance from the vehicle in front.
Drivers should be aware of reduced braking capability after driving through water.
If considered necessary the Trip Leader shall nominate the order of vehicles on the road giving consideration to experience and those with MMT and a winch. Otherwise drivers will self select their convoy position and the Sweep will advise the Trip Leader of same. Drivers should maintain their convoy position.
If you wish to change your convoy position during the trip, do so only by agreement of the Trip Leader.
The standard Convoy Procedure shall be followed during unless the Trip Leader determines that circumstances require otherwise.
If required the Trip Leader shall appoint a Recovery Marshall to oversee the recovery of a vehicle.
Use your own recovery gear to recover your vehicle. Snatch straps – one minimum, two preferred. Rated Shackles – two minimum, three preferred.
When winches and snatch straps are being used all persons other than the winch operator and, if necessary, the driver of the vehicle being recovered shall stand clear in all directions at least one and a half lengths of the winch cables and snatch straps being used.
Do not use steel shackles to join snatch straps. Use soft shackles or a wooden rod 30mm in diameter and 300mm long.

Gates and property are to be left as found.
Rubbish is to be stored and disposed of in the appropriate manner at the conclusion of the trip.
Alcohol shall not be consumed until the day’s (or night’s) driving is concluded.
